General Information

The Nursing Student’s Association of New York State (NSANYS) is the only state-wide association for student nurses in New York and is a constituent of the National Student Nurses Association (NSNA). NSANYS is independently organized and governed by nursing students. NSANYS’s membership comes from all nursing programs in the State and is one of the largest and most respected state associations in the country with over 3000 members and still growing!

NSANYS Annual Convention

We welcome you to participate in the centerpiece of our year, the NSANYS Annual Convention, as an exhibitor and/or sponsor. Many special activities and programs are planned to provide leadership, educational, and social/networking opportunities for our members. You won’t want to miss out on this venue with these exceptional future nurses!

Booth Assignments

 NSANYS will be solely responsible for booth assignments. The following will be taken into consideration, but will not be the sole determining factor: order in which reservations are received, number of booth spaces provided, suitability and availability of location.

 Exhibit Space Floor Plan

Due to space constraints, NSANYS will determine the position of all exhibits. NSANYS will make every effort to accommodate ideal space availability, avoid conflicts, and ensure maximum exposure for all exhibitors.

Exhibit space rental fees

Cost per single 6′ table top $895. The following is included in the rental fee:

• 6 table
• 2 chairs
• Lunch
• A listing of the exhibit in the convention program and on the NSANYS web site.

 Full payment is accepted on the day of the event.

Installation / Dismantling of exhibits

All set up must be completed by 8:30 am on February 26, 2011. No exhibits may be dismantled prior to 2:30 pm.

Dismantling activities must wait until the exhibit area is cleared. Exhibit move out hours are 2:30 pm – 5:00 pm.

 Release of Liability

NSANYS, the Exhibit Manager, its boards, nor New York State Nurses Association (NYSNA) are not responsible for loss or damage due to any cause. We assume no liability whatsoever for damages or for any act of omission. The exhibitor and his/her representatives herby release NSANYS, the Exhibit Manager, its boards, nor NYSNA from any or all liability for loss ensuing from any cause whatsoever.

These rules and regulations are to be construed as part of all space/sponsorship contracts. The NSANYS reserves the right to interpret them as well as make final decisions on all points the rules and regulations do not cover. As an applicant for space at the NSANYS convention, the exhibitor agrees that NSANYS ruling in all issues relative to the convention is final.

 A deposit of $250.00 must accompany the Application to Exhibit with the balance due no later than February 1, 2011. Telephone and email requests for space will not be accepted. Applications submitted after February 1, 2011 will be limited to space available.
